Folio Submission Report in TRACS
The Folio Submission Report is available in TRACS for school/provider use only. The report helps schools verify that:
- Student folio work has been uploaded
- Required verifications have been completed
- Submissions were made by the published due date.
Schools must run the report after the due date to identify:
- Missing folio uploads
- Incomplete verifications
- Late submissions.
Any folio uploaded or verified after the due date to TASC is considered not submitted on time, regardless of when marking begins.
If issues are identified in the report, schools should contact TASC via a TRACS task to provide information about the circumstances.
How to run the report: Log into TRACS via the Reports tab > Student Reports > select Folio Status Report
Folio extension requests
Students may apply for an extension to a folio deadline in the following circumstances:
- Sudden illness supported by a medical certificate
- Death of a close relative
- Unexpected travel due to the death of a close relative.
How to Apply: Assist your student to complete the Folio Extension Request Form. Submit this to your school’s TLO to upload into TRACS (use the STUDENT drop down menu to search for the relevant student and ‘+ Add Task’, using the ‘Folio – Extension Request’ task type. This must be done:
- No earlier than two weeks before the due date
- At least 48 hours before the due date.
Applications must include all required information. If information is missing, TASC will contact the school’s TLO. Delays in providing the required information may affect the outcome of the application. Extensions cannot be approved if the required information is not received by the folio due date.
Extensions will not be approved for reasons including, but not limited to:
- Everyday illnesses of short duration
- Student holidays, whether interstate or overseas
- Planned school events, including drama or music performances
- Computer malfunctions.
Length of an Extension: Extensions are assessed on a case-by-case basis. The length of an approved extension may not match the period of illness or the circumstances involved. Students are expected to work on folios in their own time, including weekends and holidays.
Multiple Extension Requests: Students may apply for a further extension if the circumstances that led to the original extension continue.
Failure to Meet the Extended Deadline: If an approved extension deadline is missed and no further extension application is submitted, the folio will not be accepted.
Application Outcomes: Extension requests are assessed by TASC on a case-by-case basis. Students will receive written notification of the outcome by email.
